Do I get to choose my pricing plan?
At the end of each month, the system automatically selects the lowest plan that matches your number of transactions, so you always get the best rate.
However, you can lock into a fixed plan if preferred.
Are all the features included, or are there tiered plans?
Yes, all the features are included.
What counts as a transaction?
Any item recorded in an order (except borrow items) is considered as a transaction.
- Rental Items: Each SKU-based item or quantity-based title.
- Sale Items: Each item sold (e.g. a bottle of water).
- Drop-offs and Pickups: Every item drop-off or pickup
- Cancelled Orders: Any order cancelled, regardless of the number of items in the order.
- + Each ad-hoc item
Example 1: If a rental order includes 3 rental items and 2 borrowed items and is processed, it is counted as three transactions. If, during the rental period, one item is replaced with a new item, the total is counted as four transactions.
Example 2: If a rental order includes 50 chairs, 50 large plates, 50 small plates and 200 napkins, to be dropped off and then picked up, it will consider 6 transactions.
Will I be charged based on my revenue?
No, revenue isn’t something we charge you on — it’s simply a cap to make sure that very high–earning businesses are matched to the right plan.
How many users can use the system?
There is no limit to the number of users who can access the system.
Does Rentrax charge for sending SMS?
Sending notifications to customers via SMS is an optional feature that can be enabled and used as needed.
As Rentrax is billed by SMS service providers for each SMS sent, this fee is not tiered and will be charged on a per-SMS basis. (Every 124 characters count as one SMS)
Are there any setup fees?
There is a one-time set-up fee for onboarding, configuration, and training.
Standard set-up fee is $395 which includes:
- Software implementation and initial configuration
- 4 hours of online support and training
- Professional services for optimization
- Verifying settings and conducting soft-run period tests
There’s also a VIP setup fee that includes 10 hours of online or on-site support and training.
Could you provide some examples of prices based on transactions?
- Example 1
- Usage: 540 transactions, $13K revenue
- Eligible plans (by revenue): Growth, Advanced, Premium (Starter capped at $5K → not eligible)
- Growth: 540 − 250 = 290 extra × $0.35 = $101.50 → $99 + $101.50 = $200.50
- Advanced: within 1,000 → $249.00
- Premium: within 4,000 → $599.00
- Lowest eligible cost: Growth — $200.50
- Example 2
- Usage: 810 transactions, $19K revenue
- Eligible plans: Growth, Advanced, Premium
- Growth: 810 − 250 = 560 extra × $0.35 = $196.00 → $99 + $196.00 = $295.00
- Advanced: within 1,000 → $249.00
- Premium: within 4,000 → $599.00
- Lowest eligible cost: Advanced — $249.00
(Even though Growth is cheaper per month, overages make it more expensive than Advanced.)
- Example 3
- Usage: 150 transactions, $56K revenue
- Eligible plans: Advanced, Premium (Revenue exceeds Growth cap of $20K)
- Advanced: within 1,000 → $249.00
- Premium: within 4,000 → $599.00
- Lowest eligible cost: Advanced — $249.00
(Transactions are low, but revenue requires Advanced.)
- Example 4
- Usage: 2,800 transactions, $70K revenue
- Eligible plans: Advanced, Premium
- Advanced: 2,800 − 1,000 = 1,800 extra × $0.20 = $360.00 → $249 + $360.00 = $609.00
- Premium: within 4,000 → $599.00
- Lowest eligible cost: Premium — $599.00
(Higher base price, but no overage here—so it’s cheaper than Advanced this month.)
